Program Assistant I (UCP III)

Undergraduate Student Government (USG)

Job Summary:

Under the general direction of the Undergraduate Student Government (USG) Office Coordinator and the USG executive student staff, the Program Assistant provides responsible administrative support as well as basic program support for USG. The successful individual will be sensitive to and have an understanding of the diverse academic, socio-economic and cultural backgrounds of University personnel and students while establishing, maintaining, and fostering a positive working relationship with relative constituents. This is a 10 month appointment position that begins August 15 and ends June 15 annually.

Characteristic Duties and Responsibilities:

  1. As directed, assists the Undergraduate Student Government (USG) Office Coordinator and the USG executive student staff in the performance of all program activities; coordinates program logistics and administrative support for USG, making adjustments to accommodate priority needs.
  2. Assists in the USG program; revising and updating program guidelines, arranging informational workshops/seminars, and assist participants achieve their goals.
  3. Writes and/or edits and disseminates informational, promotional and occasional technical materials to support USG program activities.
  4. Demonstrates excellent customer service skills and serves as a friendly resource to students, staff and others on matters relating to administrative procedures and USG programs and procedures.
  5. Maintains necessary paperwork, records and files to support the USG, including but not limited to governing documents, legislation, meeting minutes, inventory logs, and financial records.
  6. Exercises general supervision of work studies/student labor assigned to the USG program functions.
  7. Assembles data, writes and/or edits reports, requiring a general knowledge of USG.
  8. Distributes purchase orders, checks, and contracts to authorized officials of each student organization.
  9. May coordinate or supervise some specialized aspects of the USG.
  10. Maintains a collection of resource materials and program information and provides budget information to USG officers and Financial Assistant(s).
  11. May perform office support functions.
  12. Performs related duties as required.
  13. May need to work irregular and flexible hours.

Minimum Acceptable Qualifications:

  1. Bachelor’s degree or Associate’s degree with two years professional experience.
  2. One to three years experience in a responsible administrative support position, which demonstrates knowledge of administrative methods.
  3. Ability to work independently and in team setting while regularly exercising judgment regarding administrative detail and procedures.
  4. Ability to provide entry-level program support.
  5. Excellent interpersonal skills, with ability to establish good working relationships with department and/or University staff and other individuals and groups outside the University.
  6. Ability to efficiently handle multiple tasks at a time.
  7. Good writing and grammatical skills, as demonstrated by writing samples.
  8. Clear, positive, and professional verbal and non-verbal communication skills.

Preferred Qualifications:

  1. Ability to work with various computer software applications.
